7 ways to a hassle free day

As experienced event planners, it gives us a boost to see attendees get the max from a day we’ve organised. To help that happen, we try to see things from the perspective of early-rising Larks, late-blooming Owls and everyone in between.

Here are little things we know can make a big difference to the delegate’s day.

1. Quick hotel checkout
The faster, the better. Use dedicated check-out points for event guests, or allow auto check-out or invoice by email. Request later checkout deadlines, so people can take care of it at lunchtime.

2. Bang-on badges
Triple check that each delegate’s details are absolutely correct – and make the badges themselves super-easy to collect, wear and be seen by others.

3. Private breakfasts
Let attendees skip time-wasting hotel restaurant queues by setting up a group breakfast in a designated space. Aaaand relax.

4. In-meeting refreshments
Ome owls just can’t face breakfast too early! Include a small service point at the back of each meeting room with hot/cold drinks and light healthy bites. They’ll thank you for it.

5. Be ready when they are
Make sure there’s easily accessible seating for late-arriving Owls – and be on hand to show them to their seats if necessary. We like to keep spare seats at the back where latecomers can perch temporarily, so they don’t feel embarrassed for arriving after the start.

6. Power to the people, always
Sockets, sockets, everywhere! With a full-day meeting on the go, make sure guests don’t have to hunt for a power point just because they forgot to charge their phone last night.

7. Smart layout
Make sure every attendee has space to move around, plenty of elbow room and a clear view, no matter how late they show up. Simple but seriously effective… happy delegates make for happy events!
